Administrators can create and manage email alert templates that are used for sending automated emails for various forms based on triggers configured within a template.

Overview
There are two main parts to the process of adding an email alert template. While these two section are within the same Add email alert Template, it is important to understand the role of each section
- Conditions – The section where you specify the conditions under which the automated email alert is sent
- Email Template – The section where you specify the details of the automated email alert including recipients, content, and formatting
Also note the following:
- If a template contains multiple conditions and one of the conditions is not satisfied, the email will fail to send. An example of this is specifying a contact name that does not exist in the system
- If there are multiple templates that meet the criteria to send an email alert, multiple emails will be sent to the specified recipients
Permissions
Users working with email alert templates are assigned the permission EMAIL ALERTTEMPLATE. Note that this will grant users automatic access to the Maintenance menu in the web client. If a user does not have the MAINTMENU view permission, they will not be permitted to view any other menu items within Maintenance
Add an email alert template
To create a new email alert template, complete the following steps:
- Go to Maintenance > Email Alert Admin. The email alert Template Search window displays
- Click the Add icon. The Add email alert Template window displays
- In the Conditions tab of the window, add the following fields and options:
- Title – The title of the email alert template. This only visible in Maintenance > email alert Admin
- Comment – Reference details about the template. This only visible in Maintenance > email alert Admin
- Item Type – The type of form for the email alert. Options include ACTIVITY, CUSTOMER, DISPATCH (call), OPPORTUNITY, ORDER, PROJECT, PURCHASE ORDER, QUOTE, AND TASK
- From Status – This indicates that an automated email be sent if prior to modifying the record, the status was what is selected in this field. The options that display are the same options in the Status field of the Service Call form, and are controlled by the CALLSTATUS general code. The option you select cannot be the same as the To Status field, including ANY or ALL. This option is not mandatory when creating an alert entry
- To Status – This indicates that an automated email be sent if after modifying the specified form record, the status is what is selected in this field. The options that display are the same options in the Status field of the selected form. The option you select cannot be the same as the From Status field, including ANY or ALL. This option is mandatory when creating an alert entry
- Link Field – Specifies any field on the help desk form, as shown in the drop-down list. Some of these fields require manual text input in the screen, others use drop-down lists, which affects the Link Value field
- Link Value – Specifies the exact characters used as a value for the specified Link Field, which triggers the email alert. For example, if the Link Field is set to COMPANY and the Link Value is set to Acme Inc., an email alert will be triggered whenever a service call for Acme Inc. is added or modified
- Company – If you have a multi-company setup, you can select which one to assign for triggering an email alert
- Branch – Records with the selected branch within your company will trigger an email alert
- Department – Records with the selected department within your company will trigger an email alert
- Customer – Records with the selected customer name will trigger an email alert. Click the magnifying glass icon to select a customer, or click the un-link icon to remove the customer name.
- Site – When a customer is selected, you can specify a site belonging to that customer in this field
- Send Once – If the conditions have been met once during the life cycle of the record, the email will not be sent again if the box is checked and the conditions change back to those values. When the box is unchecked and the conditions are met/changed again, the email is sent again. For example, the record status change from ‘ANY’ to ‘Investigate’ would trigger thealert every time the call is changed back to ‘Investigate’ if the box was unchecked. Only once if the box was checked, assuming the record changes statuses back and forth several times to other statuses, which often is the case
- Click the Email Template tab to create the email that will be sent base on the conditions you specified in the previous step. Enter the following information:
- From – The email address that will display as the user sending the email
- Recipients – Enter the email addresses for the persons receiving the email. Use a comma to separate multiple addresses
- CC – Enter the email addresses for the recipients that you want to send as CC recipients. Use a comma to separate multiple addresses
- Subject – The subject line that will display in the sent email
- Template – The body of the email that is sent when the email is triggered. Use the WYSIWYG editor to add the style and formatting
- Click the Save icon.
Using tokens/tags in email alert conditions
You can use tokens/tags within any of the fields in the Email Template tab to include in emails. Tokens/tags are linked to the field names in the specified form. They can be used anywhere in the subject or body areas to pull in the field values that the token/tag points to.
Some use case examples for including Call form tokens are as follows:
- Automatically add the problem description of the triggered service call into the subject line of the generated email
- Automatically add the name of the contact name from the triggered service call into the body of the generated email
- Automatically add the name of the assigned technician from the triggered service call into the body of the generated email
Embed a Q360 URL in the template body
You can embed a Q360 record URL along with a token/tag within the email template body. This will allow the email recipient to click on the URL and open the Q360 record for which the alert condition is met.
- Decide on the Q360 form for which you wish to embed the link for, e.g. a CUSTOMER, DISPATCH (call), OPPORTUNITY, ORDER, PROJECT, PURCHASE ORDER, QUOTE, or TASK
- Find any record for that form and pop it out to its own tab. Highlight and copy the URL displayed (CTRL-A then CTRL-C)
- Paste that URL into the email template body and edit it to pass the token/tag variable:
- Delete the text following the far right most “=” equal sign (this typically represents the primary key/id of the record)
- Replace with the variable token/tag applicable for the Q360 form record the link is for, e.g. {{ACTIVITYNO}}, {{CUSTOMERNO}}, {{CALLNO}}, {{OPPORNO}}, {{PROJECTNO}}, {{CONTRACTNO}}, {{PURCHASENO}}, {{QUOTENO}} or {{PROJECTSCHEDULENO}}
Popup Template Tab:
Notification bubble (at bottom right) now supports a pop up that displays to the intended user of a trigger that has been executed. The trigger condition is defined in new “Popup Template” tab on both the Email Alert Admin form and the Email Template Admin form.
- When the email alert triggers, if the popup template (Maintenance > Email Alert Template > Selected Alert > Popup Template Tab) has been filled in, it will also send a popup notification to the designated recipient user
- Pop up notifications will appear in the bottom right corner of the Q360 screen and must be cleared using the “x” on the notification
- Cleared pop up notifications may be viewed in the table dbo.Notification, and another child table dbo.NotificationUser

token is used when you want to rely on pre-configured, legacy, or system-default settings for a particular field in the email alert. This is especially useful when there are multiple configurations and you want to adhere to existing configurations without hard-coding specific values
How {{default}}
Works
When the {{default}}
token is used, the system will search for predefined settings that are already in place. The token essentially acts as a pointer to the default logic defined for the particular email field

- CC
Logic Flow:
1. Alert is Triggered
- An event occurs in the application that initiates the alert process. For example, a change in a Dispatch Record’s status may initiate an alert trigger
2. System Identifies the Use of {{default}}
Token
- The system evaluates the alert configuration to identify any tokens that need to be resolved. If the
{{default}}
token is found, the system moves to resolve this token specifically
3. System Queries Existing or Legacy Logic to Determine What “Default” Means for the Given Field
- At this stage, the system starts a multi-step query process to ascertain what value should replace
{{default}}
. Here’s what it does:
- Local Settings: Checks if there are any user-specific or department-specific settings that define what “default” means. These settings may be stored in user profile tables or configuration files
- Global Settings: If no local settings are found, it moves to check global system settings, which may be stored in a centralized configuration table or an environment variable
- Legacy Logic: If no current settings are available, the system queries legacy databases or configuration files. This often involves cross-referencing multiple data sources and may include running specific stored procedures or functions that were used in older systems to determine defaults
- Hardcoded Defaults: As a last resort, the system uses hardcoded values that act as a fail-safe if all else fails. These are typically coded directly into the application or alerting system
- Logging and Audit: The system may also log how it arrived at the default value, capturing which of the above steps was used to resolve

4. The Token is Replaced With the Retrieved Value
- Once the system has determined the appropriate “default” value, it replaces the
{{default}}
token in the alert configuration with this value. For example, the{{default}}
token in the “Recipient” field may get replaced with the email address “support@example.com“
5. Email is Sent With the Replaced Values
- After all tokens, including
{{default}}
, have been resolved, the system triggers the email sending mechanism, passing along all the field values, which now include the resolved “default” values
Troubleshooting
- If an email is not sent or received, verify what the “default” settings are and whether they are correctly configured
- Ensure that the legacy logic does not conflict with new logic, especially when both are active
