Prerequisite: Sender must have Job Role ADMIN assigned in Q360
Send an eAcceptance document to be electronically signed by the recipient:
- HR > Global HR eAcceptance (Send HR Global e-Acceptance window will open).
- Add an image to the document grid by clicking the green + button. In the Document window that opens, drag and drop a file, upload a file (browse your local files), or add a file link.
- Select a Company and Branch or Department. An employee list will display in the Employees grid. Select one or more recipients for your document.
- Highlight the document you would like to send and click the Send button (above the document grid).
Documents sent through eAcceptance will be linked to the recipient employee’s employee record.
In order, email address for the employee will be drawn from:
- Email address on employee record.
- If employee record does not have an email, then email from user linked to employee record.
- If user record does not have an email, then email from contact linked to user record.
MFA checkbox:
Sender has the option to send documents requiring multi-factor authentication in order to access. The Global HR eAcceptance form may contain a “Without MFA” checkbox, dependent upon your cofig settings (see below). Checking this box will allow recipients to access the received document directly from the link provided in the email skipping the step of obtaining a code and typing it in. Leaving the box unchecked (default) will require the recipient to enter login credentials and enter a token before the received document will display.
eAcceptance MFA config:
EACCEPTANCEWITHOUTMFA – default to OFF. When turned on, a checkbox will appear on the Global HR eAcceptance form that allows the admin user (sender) to turn off MFA.
Note: Using this feature is not recommended for very secure documents. Anyone who obtains the link from the eAcceptance without MFA email will be able to view and sign for it.
When using eAcceptance without MFA, a history entry will be added to the document to indicate no MFA was selected. The eAcceptance disclaimer text which pulls from customer/company forms will now also check a second field “Disclaimer Text Without MFA” and use that text instead, if it is not empty.
