OFE Equipment (Owner Furnished Equipment) is, at times, required to be received and/or tracked within Q360 inventory alongside other project equipment. Although these items will have a price and cost of $0.00, it is considered best practice to include these items as part of the project, post-sale, for the purposes of tracking and / or future service inquiries.
OFE as it relates to Projects:
Prerequisites:
- Any customer who anticipates OFE equipment on the project must ensure that the Project Customer is set to CUSTVEND. This enables the creation / receipt of OFE and will allow an OFE Purchase Order to be created against a project.
- The OFE Equipment MASTERNO must have an ITEMTYPE of A to be able to capture unique details about the part number, such as serial number, location and / or manufacturer.
OFE options:
- If the customer anticipates that OFE is to be used along with other project equipment, on the initial project quote, include a line item for the OFE using the description “OFE Equipment.” Provide the quantity (number of OFE items).
- Some customers may include OFE as part of the Scope of Work, but not know exactly what will be used. In this case, when the information becomes available, the project team will create an ICO using the OFE Equipment MasterNo, where each line can be changed to identify OFE equipment detail. These items will appear on the Materials tab of the project. Release and cut PO to the CUSTVEND and receive as per usual.
Additional best practices:
- As items are received (even virtually, for the purpose of internal tracking), where possible, capture the actual Serial Number of the OFE equipment or auto generate a serial number as needed and record in Q360. Make sure to use the receiving labels, if possible, to track all of the equipment.
OFE as it relates to RMA equipment at the service call level:
- Post-sale / project implementation, a customer may have OFE equipment that needs to be serviced. If the item is not currently included in Q360 inventory, it must be added for tracking purposes. The user has the option to either add the OFE item to that master database or use the OFE MasterNo to process the RMA.
- Once the OFE equipment can be tracked through Q360, it may be received and repaired in-house or shipped for outside repair, and a PO may be created for labor and materials.
